The Mailsafe Compliance module will archive a copy of all email sent via Exchange utilising the Journal.  The moment an email is sent or received it is archived away to a central SQL Server database on your network.  As the email is archived it is compressed (offering at least 50% storage savings), encryption ensures the email is secure and cannot be amended or changed.  The Mailsafe email archive also supports single instance storage of emails - only one copy of an email is stored in the email archive.

One unique component of the Mailsafe Compliance module that is not available in other solutions is what we call the Mailbox Management Tool.  The Mailbox Management Tool is unique to Mailsafe and enables the Administrator to target user mailboxes to archive a copy of old emails and then (if desired) to automatically delete these archived emails from the user mailbox.

By archiving emails in this way, the overall amount of email data stored in the Exchange server environment can be reduced significantly making the Exchange server easier to back up, restore or replicate if needed – these storage and backup cost reductions can save your company money.

The Mailsafe toolbar integrates into Outlook and is the user’s gateway to search and find their emails in the Mailsafe email archive.  Search results are instant.  The Mailsafe toolbar can also be used to manually archive emails (perhaps for those companies that do not have an Exchange server but use the Outlook client).  The toolbar also offers Automatic Archiving of emails if required – it periodically archive old emails to the central Mailsafe database and then delete these emails from Outlook to reduce their storage quota.

Additionally Mailsafe can be used as a central filing system for company emails.  By invoking features for the Mailsafe toolbar a user can tag an email with up to six index fields such as Project Name, Client ID, Account Number etc.  The act of tagging an email means that it can be made available to search and find from the Mailsafe email archive by other Groups or Individuals.
