What is Mailbox Reducer?

Emails older than a specified number of days are 'swept up' from Mailboxes into Mail-safe's central email archive and deleted from the user Mailboxes.

The specified number of days is set as a number of days e.g. 30, 60, 90, 365 days etc from today's date and Mail-safe's Mailbox Reducer will automatically check to see if emails are older than the specified number of days before adding to the email archive and removing from the Mailboxes.  A check is made to ensure that archiving does not cause duplication i.e. single instance archiving.

The specified number of days can vary from one Mailbox to the next depending on usage, Mailbox size and status of the user.

To start with all emails are swept up from the Mailboxes into Mailsafe's central archive but are not deleted from the users Mailboxes.  This ensures that all emails in the Mailboxes are absorbed into the central archive and thereafter the use of specified days for emails to remain in the individual Mailboxes can then be applied i.e. where older than the specified days they will be deleted from the Mailbox only after checking that a copy exists in the Mailsafe's central archive.  This process automatically ensures that user Mailboxes are kept to a reasonable size without the need for applying quotas.
