Archive all emails. Automatically archives all sent, received and internal emails as a single instance to a SQL database without interrupting the normal ‘day to day’ flow of emails. The SQL database contains extracted data from the emails whilst the emails together, with any attachments, are stored in a separate folder outside of the database. The point of capture of emails guarantees that they are prior to any editing and are therefore ‘original’.
Searching and viewing archived emails from within Outlook. Systems Administrators can very quickly search, find and view all emails using powerful search tools. Users can search and find emails only where they have some ‘ownership’ of the email i.e. their email address appears in Sent or Received or CC or BCC fields. Viewed emails will be in their original Outlook format and can be imported back into Outlook if required for user action.
Security. All emails are compressed and encrypted and cannot be changed or altered in any way, which together with audit logs provide forensically sound evidence of the email’s originality that can be used in a court of law.
Compliance. Meets regulations such as Sarbanes-Oxley Act 2002, Security and Exchange Commission (SEC), HiPAA, NASD, Freedom of Information Act, Data Protection etc.
Benefits. Mailsafe Express is an ‘add in’ to Outlook and has exactly the same look and feel, so that the loading of a separate application is not necessary and without the need for additional separate hardware.
One single central database to access ‘original’ email messages. The Systems Administrator can search and find all messages whereas users can search and find only their own. The need to save emails ‘just in case’ in Outlook is no longer necessary because users can always search and find the original from the central database.
No searching through backups and offline PST files. PST files no longer needed.
Exchange mailbox stores considerably reduced because ‘old’ emails can be deleted safe in the knowledge that they can be found from in the central database (see also ‘sweep up facility’ below) therefore quotas as easier to manage meaning Exchange runs more efficiently as a result. On average there is also a minimum 50% saving in storage space of the emails that MailSafe Express stores in the separate folder i.e. message plus attachments.
Powerful Search Tools. Standard searches are all ‘AND’ conditions and can be made using From, To, Date Range, Subject Line text, Message text, phrase as well as content, attachment type, attachment name etc and ‘Search Within Results’ is used to further refine any search criteria.
Search results list are displayed in Outlook format and include preview pane. Simply click on a chosen email to view in it’s original Outlook format.
‘Sweep up’ of old emails. A unique facility is available to Systems Administrators so that ‘old’ emails that are older than a specified date can be ‘swept up’ i.e. deleted from the user mailboxes, thus freeing up space in the Exchange Mailstore. Mailboxes to be swept up are easily defined so that inclusions or exclusions can be made.
Exclusions. Unwanted or unimportant emails can be excluded from being archived to the SQL database with user-defined filters e.g. ignore ‘Out of Office replies’, meeting requests, specific file types (AVI etc), SPAM identified by your firewall, specific email addresses so that your database is not cluttered with irrelevant emails.
